Part 1: Notice of Collection
A. About the AFP Reserves and Former Members portal
The Reserves and Former Members portal (website) (the Portal) will be used to collect, store and maintain up-to-date information about AFP Former Members and AFP Reserves. The Portal will assist with streamlining communications and engagement with AFP Former Members and Reserves, seeking EOIs for Reserve placements and matching skills profiles for Reserve placements.
Personal information handled by the AFP Reserve and AFP Former Members teams is handled in accordance with the Privacy Act 1988.
B. Collection of your personal information
The AFP Former Members team and AFP Reserve team collects your personal information for purposes of creating your base user profile within the Portal.
The AFP collects your name (first and last name), date of birth, phone number, address and email address. Once your base user profile has been created by the AFP, you will be invited to view and edit your own user profile to include the following additional information: your preferred name, your middle name (if applicable), additional phone number(s), your communication preferences (notification/alert settings), and your ceremonial preferences (including your preferences for AFP involvement in your funeral, the distribution of death/funeral notices, and contact details for your nominated next of kin, or a contact point).
If you do not consent to your personal information being collected in these circumstances, or you withdraw your consent, the AFP will not be able to provide you with access to the Portal.
AFP Reserves will also be invited to include (and edit) the following further details: your nearest capital city (or cities), your availability for Reserve placements, details of your professional skills, experience and qualifications and your Reserve placement preferences.
C. Use and disclosure of your personal information
For Former Members, the AFP Former Members team uses and discloses your personal information to streamline communications and engagement opportunities with Former Members.
For Reserves, the AFP Reserve team also uses your personal information to receive expressions of interest for Reserve opportunities and to consider your suitability for Reserve placements.
Additionally, user profile information will be used by the AFP Reserve team and Former Members team to facilitate communication and engagement opportunities, including providing users with access to:
- submit other communications forms to the Reserve team,
- register to attend AFP events,
- opt in to receive a range of communications including alerts/notifications and invitations, and
- update/maintain their own user profile information/details.
No personal information will be disclosed to (or accessed by) an overseas recipient.
Ceremonial preferences
If you complete the ceremonial preferences fields within your Portal user profile to ‘opt-in’ for the relevant options, in the event of your death, the AFP Ceremonial and Protocol team uses and discloses your personal information for the purpose of disseminating a notice to all AFP employees and/or publishing the notice on the Honour Roll page of the Portal.
Additionally, if you have entered name and/or contact details for your next of kin (or nominated a point of contact) in the specified fields within your user profile, the AFP uses this information to contact the nominated person to provide them with information about your ceremonial preferences and to discuss AFP involvement in your funeral.
To help ensure the accuracy and currency of personal information you provide in the ceremonial preferences fields, the AFP may use your personal information for the purpose of communicating with you to remind you to regularly review and update your ceremonial preferences, including your next of kin details.
D. Security of personal information
The AFP Reserve team and the AFP Former Members team securely stores personal information in compliance with its obligations under the Australian Government Protective Security Policy Framework. Personal information is securely stored to prevent loss, unauthorized access, misuse, modification or disclosure and is stored within your user profile of the Portal, which is hosted within Australian data centres, and uses SSL encryption for all data transfer.

The AFP Privacy Policy contains details of how you can access and correct your personal information or make a complaint about our use or your personal information.
You may also access and edit your own user profile, including communication preferences (notifications/alerts) and AFP ceremonial preferences, by logging into your profile in the Portal.
Part 2: Consent
A. Participation in the Reserves and Former Members portal
Participation in the Reserves and Former Members portal is voluntary. However, if you do not agree to the collection and use of your information as set out above, the AFP will not be able to provide you with access to the Portal.
You can withdraw your consent at any time by contacting the AFP Reserve team or the AFP Former Members team (as applicable). If you do withdraw your consent after your user profile has been created, your profile will be disabled (you will no longer be able to access it) and the information stored within your profile will be retained within the Portal database in compliance with the Archives Act 1983. The AFP Reserve team and/or the AFP Former Members team will be able to see that your user profile has been disabled, however the personal information stored within your disabled profile will not be accessed without authorisation from the AFP Reserve or AFP Former Members team leader.
B. Communications preferences (optional)
The AFP collects information regarding your communications preferences (within your user profile) for the purpose of providing you with notifications, including news about the AFP, and event invitations. Swift Digital, an Australian based service provider, will send notifications or alerts including (but not limited to) general news, notices and event invitations. Swift Digital will store your personal information in Australia.
You may opt out of receiving these communications at any time by editing your preferences within your user profile.
C. AFP Ceremonial preferences (optional)
The AFP collects information regarding your ceremonial preferences (within your user profile) for the purpose of communicating with your next of kin (or nominated point of contact) in the event of your death. If you choose to opt in for any of the listed options, the AFP Ceremonial and Protocol team will share information regarding your stated preferences with your next of kin when discussing AFP involvement in your funeral:
- Attendance at the funeral by a uniformed AFP Ceremonial and Protocol officer
- Medals and Police Insignia (as appropriate)
- A floral wreath to be delivered to the service on behalf of the AFP Commissioner and staff
- All-staff notification disseminated within AFP
- Notice published to the Honour Roll page of the AFP Reserves and Former Members Portal.
While your stated preferences will be shared with your next of kin (or nominated point of contact), your next of kin will be responsible for deciding on any AFP involvement in the funeral. All offerings are subject to members passing the appropriate AFP gateways and pending the availability of AFP personnel to be involved.
You may update or amend your ceremonial preferences at any time by editing your preferences within your user profile.
